Time Management Is The Key To Personal Efficiency

Managing your personal and working time is one of the most challenging tasks of today’s professionals. Life these days is so intense and complicated, business is so competitive, and a stream of information overwhelms us. Consider the internet, market globalization (when it is time for you to go home, the overseas branch is just beginning its day and, of course, they have a number of urgent questions), growing work requirements, and having to constantly increase your level of knowledge, you are starting to realize that there is no time for a personal life.

There is even no time to think because the boss demands that you “do” your job faster and faster so he can beat the competitors. The employment classes confuse us with recommendations like “make a daily plan and follow it” but how can we follow it when ten urgent questions constantly rise up and we have to solve them before we get to the plan. We need something on our hands to be able to deal with all this. That is when the time management knowledge becomes very important. But then we struggle with another problem – the variety of time management information. The variety of new time management guides and theories are just confusing us and we don’t have time to read all of them.

time management is not just a skill; it is a way of life. And only with this kind of attitude is it possible to find the time not only for work but for a personal life too. There is the common belief that time management is basically just creating project plans, charts, and following them. Those things actually cause the problems with the work schedule because they don’t count on a lot of factors – “time killers” those that can’t be expected by using the common project planning tools.

Lately, I’ve read about some new concepts in time management. The key idea of these concepts is to be able to create a balance of accomplishments in your life and work. In time management, it is important to use both order, and chaos. (You can read more about these new concepts on my blog) Before you start creating your own project plan, it won’t hurt to observe yourself for a couple weeks and catch what kinds of things happen and why they are killing your precious time that you miss so much.

Based on this concept there are multiple layers in time management: controlling personal time, strategic time planning, tactics to manage yourself and others to achieve goals, and learn how to use the time management tools on a corporate level. Also we have to be familiar with different programs and technical tricks to organize your personal and work time, including organizing the time of people that you encounter at work and after work. Start this process from yourself and then spread it to other people that surround you.

Sounds kind of complicated, doesn’t it? As I mentioned before, this is a totally new time management concept.

time management can’t be selective. This is either a way of life or a constant fight with emergency situations. This time management concept demands a fundamental change in the way we handle business right now but at the end we will be rewarded correspondingly to our spent efforts and desire. The stated general principles and approaches of these new time management concepts are definite for everybody but the choice of tools is personal to everyone.

When reflecting on the Three Great Myths of time management, I am reminded of poem by Stephen Crane:

A man said to the universe:

“Sir I exist!”

“However,” replied the universe,

“The fact has not created in me

A sense of obligation.”

Time is much like the Crane’s depiction of the universe. It constantly passes without waiting. Once a day has gone by, it is forever lost and can never be recovered. In 365 days, you will be a year older, regardless if you lost 20 pounds or gained 20. Time’s arrow flies forward without any sense of obligation.

Myth One: You can manage time.

Time is our greatest constraint, but it is also a wonderful leveler as everyone, from the highest king to the lowest serf, is given the exact same quantity of time per day: 24 hours. Of course, this can be subdivided into smaller useful chunks, but that really does not ‘manage’ time. There is no way to manipulate time or create more of it.

While discussing this myth with a friend of mine who is pursuing an advanced degree in physics, he had two interesting objections:

1) What about Leap Seconds?

My response: Sure, occasionally a ‘leap second’ is added to atomic clock in order to adjust for a minor difference between our artificial calendar and the true length of the solar year. This does not add time, but is merely a book-keeping procedure. The Western Calendar, with the addition of the Leap Day which occurs every 4 years (with a few exceptions), is an excellent approximation for this time span; however, every now and then another second is added to account for the difference between the reality of our planet’s orbit and the human measurement of time. In fact, only 23 leap seconds have been added since 1972. Even if this was some kind of temporal alchemy, would a handful of additional seconds over a lifetime really be a major benefit to anyone? Doubtful. However, this is not time creation, but a simple error correcting methodology.

2) What about Einstein?

My response: Yes, this Universe is a fascinating place, and time is certainly relative. If I jump on to a spaceship traveling at the speed of light, time will pass much slower for me than everyone else left on Earth. However, until hyperspace, wormholes, and time warps are part of everyday life, I think we can agree that the six-billion plus people on the planet are experiencing time dilation in the same way. I do agree that when the phrase ‘IT’ begins to stand for Interstellar Travel, many of our practical assumptions will have to be re-examined. Yet, I am going to ignore the Einstein objection (for now) on pragmatic grounds.

Bottom line: Life Management

You do not manage time, but you do have full control over your choices. The only one who has power over your thoughts, your words, and your deeds is you.

Life is what you make it. You decide which roads to walk down. It is your journey. You can choose to climb the highest mountains or explore deep subterranean caverns; you can study physics or metaphysics…or both. You choose what your life will be. In the past, you made decisions that determined what you life is today. You choose what it will become in the present moment.

time management is a major misnomer. I only use it occasionally as many people still refer to this way. Some who object to the idea of time management call this Self-Management; however, I prefer the term Life Management as there are networks and interactions beyond one’s self (e.g. relationships). You must balance your life so you can make good choices to manage everything in your life, including family, values, goals, career, friends, finances, health, etc. Life Management is 100% dependent on being able to make wise and effective choices so the outcomes you desire are realized.

Myth Two: Technology is a Magic Bullet.

I had a friend in high school who could never accept his limitations. In fact, anytime we played a game, and he failed to score, he’d make the claim that “he was the perfect athlete, just his equipment was bad.” Of course, no one believed that if he had the most advanced running shoes, he would have broken world records. Do not fall for this kind of misguided thinking.

No, I am not a luddite! Technology is powerful, wonderful, and amazing! I am the first to admit that I am thankful for my high-speed internet access and my DVD player; yet, technology can not replace fundamental principles by itself.

I think most people would laugh at the low-tech claim that merely having access to pens, folders, and legal pads would result in one becoming organized; yet, many have embraced what I call the gadget fallacy. This is a belief that some electronic tool, such as a PDA or a software package will solve all their organization problems. When I managed a PC Support department for a large investment firm, I assisted with the procurement of over 450 different PDA devices for the firm; yet, few of individuals who received these suddenly transformed, even after uploading their contacts and calendars. I’d estimate 50% of the associates who purchased these devices stopped using them on a regular basis after several months.

When you think about what a PDA is and can do, it is possible to see it as a very advanced version of paper (perhaps, paper 3.0?). Yet, as a tool, if properly used, it can be extremely helpful.

Bottom Line: Alone technology is not enough. Yet, if integrated into a broader system, one that tackles inputs from both the analog and digital worlds, such tools can greatly enhance the overall process of Life Management.

Myth Three: None of the techniques from the 20th century work any longer.

Any body of knowledge is progressive; new ideas build on older concepts. In this respect, Life Management is no different than the fields of Biology or Economics. However, the widely held belief that any idea which is more than a few decades old is completely outmoded is neither logical nor defendable. Yes, some older methods have been replaced by better ones. Some are completely extinct (and rightly so), but this does not mean ALL of them should be discounted.

Think about Physics. After the advent of Einstein, were the laws outlined by Newton in 1687 suddenly wrong? No. Newtonian physics, by itself, works well enough to send rockets to the moon. In fact, most high school and college students first focus on classical physics, including many concepts over 300 years old, before moving to the newer quantum physics.

Here are some just a few ‘ancient’ strategies that still have great value:

o Mission Statements/Purpose Statements

o Monthly/Quarterly/Annual Goal Setting

o Daily Task Lists with Ranked Priorities

o Urgent vs. Important

I am willing to bet that 99 times of out 100, someone employing only techniques developed 40 years ago would be more productive than someone using no techniques whatsoever!

It is also important to realize there is a great a great diversity of lifestyles and careers, each with different demands and a unique speed of life. Some can not imagine functioning without their Blackberry while others prefer to handle everything with just pen and paper.

Bottom Line: Do not shun an idea just because it turned 50 last week. Instead of asking the question “How old is it?” I suggest asking “Does it work?”

Time Management: A Slippery Subject

time management comes naturally for some people. They are always on task, their house is always clean, they are never late for work and the list goes on. I envy those people some days. Especially on the days when it seems like all I’m doing is spinning my wheels. time management is basically the way you plan, schedule and manage the way your time is used during the course of a day.

The biggest problem with time management is setting aside the time to actually assess what you need to do and when it needs to be done. A lot of people are procrastinators, which can make it even harder to start managing your time. There are a couple of areas you can begin to manage your own time. The main aim of time management is to increase the efficiency of how you use your time. So, three of the most common ways people attempt to manage their time are to-do lists, prioritizing what needs to be done first and then managing these goals to actually see them through to completion.

One way to manage your time is to schedule everything you need to do every day into time slots. The best way to keep track of this would be on your e-mail software (Outlook) or a physical portable Dayrunner type planner that includes a calendar, to-do lists and many other items. For some this method might be too restrictive. It also requires that you sit down and take the time to do it. There are certain things you can schedule at the same times every week, such as vacuuming, grocery shopping, washing the car or any other chore you do or feel you should do every week.

Another way to manage your time is to just make a list at the beginning of the week of things that need to be accomplished before the end of the week. Each day you can pick a few of the items off the list to do and by the end of the week your list is done and you feel like you actually accomplished something during the week. The only caution with this method is to make sure you are realistic about your list. Do not list 100 items to be done by the end of the week, because it won’t happen and then you will feel like a failure and you are back to square one. Prioritizing is the most important thing in time management, you need to understand how to create an importance level and assign it to all the things in your life, your time management will be as successful and as clear as the priority you set in your life. Important point to be remembered here is that prioritizing does not mean doing only what is important and leaving out on rest, rather it is doing what is important first and then proceeding with the rest.

Scheduling and Routine Setting: Scheduling binds your prioritized tasks and goals in a time frame such that you get a productive outcome of your available time. A carefully made schedule motivates you to complete your tasks on time and cuts down on the time bandits by limiting the amount of time you spend on a particular task.

Time Management Progressed

In order to develop a time management scheme that works with our intended goals, we have to learn some of the basic layouts in planning time management. To develop a successful time management scheme we must evaluate time and calculate it against time. In other words, we must sit down and ask our self how long does it take us to eat? How long does it take us to complete a task? How much time are we wasting? Are we spending quality time with the most important people in our lives, or are we spending our quality time on things that do not matter.

Where our time goes is essential since time management is the process of gaining flexibility and cutting back time. As you can see, life is a game of loose and gain. Even in time management, we are gaining something and loosing something, but the advantage of time management is that we are loosing something that brings us rewards and gaining something that brings us bigger rewards. It is a no loose situation if we plan time management right. Let the game begin!

Ok, you start you morning out with a healthy breakfast and going off to work with a positive attitude. When you get to work, you have your list of things to do in front of you, your desk is clear of clutter, and when you sit down and fire up that computer the machine is running smoothly…sounds too good to be true, but it can happen. If you look back in this paragraph, you will note I referred to “list of things to do.”

time management includes making notes or lists of things that you are responsible for completing in a day. The list can start with smaller tasks and lead to bigger tasks. It depends on the person and what is expected of them, but for the most part, it is the process of elimination. When you sit down at your desk and there is a list in front of you, you already know what is expected of you. Therefore, you can just jump right into action and finish the task. Notice I said FINISH the task. You should always finish one task before moving to another task, unless your job requires skills of multi-tasking. Once you finish the first task, you can move onto the next time and follow in pursuit. Once you completed all your tasks, sit back for a moment in a comfortable position and think of what you accomplished. When tomorrow comes, you will notice you do not have any backups, and that your day is running smoothly with new tasks laid out in front of you.

Now, we can take a look at the computer. Your company is responsible to keep up maintenance on your computer, but you are responsible to notify the proper individuals when your computer is flopping. If you computer is operating smoothly you know your time management scheme is flowing smoothly, but if you notice that your computer is acting like a limping soldier, then you probably noticed problems earlier and failed to tell the boss. Or, it could be that this is the day that you computer decided to let you know that someone wasn’t keeping up maintenance, or “you worked me too hard, I need replacement.” Whatever the case, someone was negligence, or both were negligence, which means your time is going out the door while you wait for the technician to patch up your computer, or else wait for the delivery man to bring in the box.

time management includes making sure that things are running smoothly by maintaining your equipment, informing others when things go wrong, or upgrading when necessary. If you desk is clear when you enter your office, this should let you know that you are doing a good job, and motivate you to keep up the good work. You are saving time, since if your desk was cluttered you would be in your office early in the morning digging around for the list that your boss provided you. Now that you are on the road to time management progressed, you will next want to look at how you invest your time outside of work.

Time Management is a Work of Art

Strategic planning schemes in time management are fundamental steps to a promising behavior scheme. If you are a student or professional, then you are well aware that time is essential for all aspects of life. Most of us are often too busy to fit each task that requires our attention into a single schedule. The diverse strategies in planning to manage time can be complicated if you do not have a start.

We need goals, which include “issue-based’ goals, ‘goals-based’, ‘organic, scenario,’ and so on. According to experts, “Goals-based’ are strategies utilized primarily focusing on a targeted goal, whether it is short or long-termed goal, and the details specifics including working diligently to achieve the target.

‘Goals-based’ sets principals in its scheme by utilizing effort, plans, and action. For example, if you are working at a large organization the goal based planning will include instructions that inform all workers who handles what tasks and when the tasks are expected to be completed.

The big business people often manage time by including goal based techniques combining it with ‘issues-based, organic strategic planning’ and so on. The time management team often scrutinizes the many issues that the company is facing, and works toward a solution to resolve those issues, by putting their main plans into action. Once the company team has analyzed the companies, plan to resolve or move ahead, the head members often discuss openly where the company is headed and what principals are required to put the plan in action.

The time management scheme is a work of art, yet it does not apply to everyone, since the big boys primarily construct this type of planning. For the little boys, we need to begin by evaluating our circumstance. Are we running a small business? Are we an employee in a small organization? Do we have family? Are we in school? These are only a few questions that we can scrutinize to find a resolve and set up a time management plan that is a work of art. We can find a deduction in the analyst since we are aware that most people sleep seven or eight hours per night; work eight or nine hours per day, leaving us seven or eight hours of free time to handle our added requirements outside of work. Now if you have family, school, or other duties, then you know seven or eight hours is short.

Therefore, we already know we have work, and this is a necessity to survive, so how can we cut back time to manage our lives. We can start by getting our work done at our job so we are not required overtime, and then work toward the goals and responsibilities we have at home. If you have a family and taking courses to enhance your career, set a couple of hours aside each day to finish (and I do mean finish) your home work. Do not put it off get it done! That leaves us five or six hours in a day. During the remaining hours you can set an hour of each day aside for yourself, and invest the other time remaining in family, friends, and so on, thus managing your time, cultivating your life plan into a work of art!

Time Management in Control

Being in control of your time is important if you are a hard worker, with a family, and have other needs and requirements to meet. When you are not in control of your time, you success is at risk. To be a successful individual in life, you should not feel frustrated or stress. Nor should you have doubts, fears, or a feeling of no direction or motivation. This type of situation often leads to stress, which is proven to be one of the direct causes of lack of time management and control. Procrastination is often the leading cause that stumps slackers from becoming successful.

However, other factors can contribute to why someone is not managing their time appropriately. In my last article I spoke about goals, but I think it is just as important to inform the audience how being in control of their time, makes all the difference in the world, even with individuality. Our individuality requires us to feel good, have a good self-esteem, and quality level of self-confidence. When we are not in control, we loose control. The fact is, the government and law already takes a measure of our control out of our hands, so control is a struggle we have to obtain that suits our individuality. Managing time means we need to set goals that we can achieve and work hard to achieve those goals.

time management also means that we have to cut the procrastination and get our body and minds motivated to clean up our act. We can start by organizing our home and office, and then work toward a list that will direct us where we are headed each day. The rule of thumb is “Don’t put off, what you can do today.”

After our priorities are in order, the rest will work smoothly. All of us have the capacity to achieve and be successful. All of us have the ability to take control of our lives, and stop doubting our abilities to be successful. The ability lies within our minds, and when we take charge of our brains, (Mind over matter), we have the ability to go to any level of achievement we desire. Now before you fire up those barrels, make sure you got your priorities in order, since this is a part of the key to managing time and taking control of your life.

Negative energy is a charge that sends out negative results, so you might want to take a few notes on how to think positive if you are a pessimistic. I wanted to bring this point out, which we will talk more about later in a different article, but it is the root of all evil in its own way. Positive thinkers often look forward to success, while negative thinkers are often reluctant to take hold of a good thing, and that includes their own control. This is a problem since time management is often difficult for these types of thinkers. In conclusion we can see time management includes being in control!

Time Management Confrontation

Confronting the issues that hold us back is useful in managing time. We all have fears, doubts, failures, inconsistencies, illnesses, accidents, incidents, and so on. There is no way to escape these negative truths in life. Therefore, what can we do to contribute to our time, is manage it accordingly to life’s limitations and inabilities. If you think you are going to walk through life without something happening to you or someone you love, you had better rethink, since you are letting yourself down and wasting time doing it.

Life is REAL! It is not a game of truth and dare, it is a matter of what we face each day, and sometimes we have no clue what we will face. Time is one of the most valuable gifts that we have and we can use it wisely or waste our time relentlessly. No matter what our current situation something is going to happen and we must learn confrontation skills to avoid complete failure. We can look at many examples in our life, or in our past.

Let’s say we had a time management plan and it was working smoothly, but one fatal day a terrorist attacked our neighborhood, or a storm blew our hard work out the door. What are you going to do? Did you calculate in your time management plan a solution for disaster? If you are not getting off the ground in a short time after these disasters hit then the answer is obvious. What do you do when you fall and break your leg? Does you time management scheme have a solution? If it doesn’t you are going in to set back mode which is obviously going to take longer to rebuild. Regardless of the situation, confronting the reality is the main key to surviving the realities of life. In order to confront life, we must look at all angles of realities that may impose themselves in our time management plans.

In order to achieve a healthy level of confrontation is to understand what it really means to confront your problems. Most of us have natural abilities to face what is put in front of us, but when it comes to situations out of our control…this is when we often loose control. Loosing control is obviously a step backwards in our time management plans. Control on the other hand is having the ability to work toward a future and at the same time realizing that the future promises, us nothing and that anything can happen at any given moment in time. This is reality!

Once you face reality, confrontation will come easy.

After studying human beings for the most part of my life, I observed closely as people denied there faults, feared risks and challenges, intimidated by their mistakes, reluctant to stand up and tell another person they were wrong, and failed to allow them self to control their own being. The source I found was FEAR. Fear seems to play a large role in all aspects of human beings. If we are constantly afraid, how can we allow our selves to manage time? We can’t because our time is being wasted on what we may or may not have control of. Therefore, the solution to diverting a good time management scheme is stepping back and looking in.

Confrontation is telling our selves that it is ok to make mistakes. When we make mistakes, we learn and can move ahead. Confrontations is letting us know that we have the right to confront any problem that steps in front of us, and we have a degree of power to change what has happen to us or someone we love. We have the right to tell someone that there influence is provoking our thoughts, and we need them to stand back and take a look at what they are saying to others. We have the right to stand up for our own beliefs and hold firm in our power to resurrect our selves when accidents, incidents, illnesses, failures, or other negative connotations arise. We have the power within us to move forward. There is nothing in life that can stop us from reaching our goals in life, but our selves and God.
